What is the benefit for your clients?

Schedulicity is not another “digital to-do.”  We’re a time-saving  service for millions of Americans who make and manage myriad of personal  appointments each week, each month.  We let clients book appointments  in seconds, re-book with a click, search, book and manage from a smart phone, tablet, or full computer.  Schedulicity even sends automatic appointment reminders and  keeps track of appointment history.

Fun fact: 69% of appointments booked online are booked between the hours of 8pm and 3am. It’s a great way to make your appointment book available when your clients are and cut back on voicemails, messages, and having to call clients back.

Do service professionals or their customers need anything special to access or run Schedulicity? And does it integrate with other online calendars?

Anyone can be up and running on Schedulicity within minutes.  Schedulicity is an easy to use application offering two-sided  functionality and a broad array of useful features that enhance the  client-service provider relationship in almost any service-based  industry.  Schedulicity is compatible with all popular browsers such as Safari, Google Chrome, and Firefox and integrates  with Google Calendar, Outlook, iCalendar.

Does Schedulicity have a mobile app?

For business users: Yes, we sure do! Our native Schedulicity iPhone app for business users is a personalized tool to help manage your schedule on the go! We designed the app to allow you to access your calendar whenever you need, and to reflect your wonderfully unique style. It really is a great way to keep up to date with your day.

If you have an account with multiple providers and you would like to see everyone’s schedule, the best way to do this is still by accessing the full site. You will find a quick link to the full site right within the main menu of the app itself, otherwise you can navigate directly to www.schedulicity.com.

For clients: We have also recently released our iPhone app for clients! Woohoo! This is a great way for clients to book their appointments, see services in the area, and review their upcoming details on the go. For more information about our apps click here!

We haven’t forgotten you, Android friends! As an Android user, you can download an app icon from the Google Play store (just search Schedulicity), or simply navigate to www.schedulicity.com on your phone’s internet browser. You’ll be able to book appointments and manage client information on the go from there.

We’ll also be working on releasing a dedicated Android App as well. If you’d like to get an update when that is ready to launch, just click the purple bubble in the lower right corner of your screen and let us know!

What is your cancellation policy? Is there a long term commitment?

While we have found that most professionals love the product, you may cancel at any time. The best news is, there are no setup fees, support fees, client limits, contracts or cancellation fees. We simply bill you month-to-month.

Is my data secure?

Schedulicity is  hosted at one of the most reliable and secure hosting centers in the world – Rackspace. Our system is monitored 24/7 to ensure the integrity of your business data. The safety of your data and our privacy policies are of  utmost importance to us. As well, all appointments are managed and booked through SSL encryption helping to keep your data safe.

We have multiple service providers. Can each have their own prices, services and hours?

Absolutely! If you are operating in an environment where the providers offer the same service but with a different durations, prices, and clean-up times, you can edit that information per provider. This avoids having to create individual services for providers and makes online booking easier for your clients.

Can I limit access for my employees?

When setting folks up on Schedulicity, there are two different kinds of limited login: provider logins and front desk logins. The only difference between these two is that a service provider offers services or classes and a front desk login is like a receptionist login, someone who doesn’t offer services. Limited logins will have full access to the Appointments, Classes, and Clients pages on the account but will be unable to access the account Settings or Marketing pages. They would also have access to the following reports within the Reports page: Schedule by Provider/Instructors, Agenda View, and Cancellations.

We recommend using provider/front desk logins. It’s a great way to track who has booked or edited appointments. It also restricts the access of employees to adding and editing appointments and clients. Keep in mind that the limited logins will have full access to the Clients page but wouldn’t be able to export a Complete Client List.

Do I have to switch over to Schedulicity on the day I sign up?

You can transition  slowly or all at once. We know you already have some bookings in your  calendar, so if you prefer to keep the account hidden from the Schedulicity.com search results until you feel ready, you can do so! Whenever you feel ready to go, just head to the Marketing section of your account and open the Marketplace Listing page. Hit “edit” at the top right and you’ll be able to edit your business listing, like your number and address. You’ll find at the very bottom of the screen the option that says “I want clients to be able to find my listing at Schedulicity.com.” Check this box and you’ll be listed in there!

Why do my clients have to create a profile in order to schedule appointments?

The first time your clients book with you, they are asked to provide the basic information that you will need to communicate with them (i.e. first name, last name, email address, and phone number). They are essentially creating their client profile within your schedulicity account.

They are also asked to create a username and password which allows them to create their own personalized scheduling page with one-click rebooking, automatic appointment reminders, and mobile scheduling. A profile linked to an email login allows them to have both security and control over their appointments and to enjoy all of these great benefits and more.

Do I need a website?

If you’re starting from scratch, you don’t need to have a business website to use Schedulicity! You can simply send your clients to www.schedulicity.com to book appointments with you.

For those who do have a website or other online presence such as Facebook, we have great options to integrate and help direct clients to book online with you through Schedulicity! If you’re on your Schedulicity account, select the Marketing icon (the bullhorn) and then the Widgets tile for both website and Facebook options.

Do you have reports?

Yes, Schedulicity offers a number of client-based reports as well as schedule-based reports! There are even reports to let you know how you’re latest marketing efforts are going.

Can I import my client data?

Yes! You can import your client list in a few ways to your Schedulicity account. We can import it for you (for free!) or you can give it a go! Want us to import it? Follow these directions:

You can just email it to us at support@schedulicity.com and we happily will add your contacts into your account. This usually takes 2-3 days, but we try to be as efficient and speedy as we can. The file types that work the best for us to import are these: vCard (Mac, iPhone, iPad) -csv (Google contacts, Yahoo contacts) -Excel – If you have your contacts in a different format, feel free to email it over and we will take a look and see what we can do. 🙂

If we do the import for you, we can also add more details to your client records. Here is what we can add: First Name | Middle Name | Last Name | Address Line 1 | Address Line 2 | City | State | Postal Code | Phone Number | Email | Birthday Gender | Client Notes (up to 3000 characters)

Would you rather upload it yourself? Awesome, here is how:

 You will want to get your list organized in the proper format so everything will end up in the right areas of the profile. You will want to include all five columns even if you don’t have that particular info. For example, if you don’t have the middle names of your clients be sure to still have column B blank so we know not to put anything in that field! Here is the format you will want your document in: First Name | Middle Name | Last Name | Email | Phone Number

Now that your list is good to go, Navigate to the Clients icon Select the “import” button in the upper right hand corner. Make sure the format is saved in a .CSV file so it will upload. In Microsoft Excel it does give you the option to save as a .csv rather than .xls so be sure to choose that option. Be sure to check your list out before an import to make sure all the info is exactly what you want, and it’s always good to check for duplicate clients. This is especially important if you already have clients in your Schedulicity database. Otherwise you might end up with a messy client list, full of duplicates. Trust us, it’s not fun to deal with! So, triple check your information and make sure it’s just how you want it!

How do I reset my password?

I signed up. Why is my business not listed?

With your Schedulicity listing, you have the ability to choose whether or not your business will appear in the Schedulicity.com search results! This can be a great way to increase your visibility for both existing and new clients in your area. To appear in the search portal:

  • Head to the Marketing tab and open the Marketplace Listing page
  • Click the red “fix this” button next to “your listing does not appear in the search results”
  • You can also hit “edit” to turn this on and off too

Can I offer products so clients can add them to their visit?

Yes! Just go to the Add-on section of the Marketing area within your Schedulicity account. Once there you can quickly add all the products you would like. Once your products are added, your clients will see them at the time of booking their appointments with you. It’s a great way to start the conversation with your clients about the products you and it will allow you to create additional revenue!

Can I invite clients to book online?

Definitely! If you’d like to invite a prospective client to book online, all you need is their email address. Just create a profile for them within your client list and then invite them to book online. You’ll see the option to send an individual invite right on a client’s profile page, within the “Client Scheduling Settings” section.

Does Schedulicity only work for Spas and Salons?

Although Schedulicity was originally created with health and beauty professionals in mind, we have since grown to encompass more than 60 different industries throughout the US and Canada.

How do I update my credit card information?

Updating your billing information on the account, just walk through these steps:

    1. Navigate to Settings
    2. Open up the “Subscription” page
    3. Select the “update card” button
    4. Edit your billing information and hit “update card” again

How do I view a visit that I booked as a client with another business?

If you booked an appointment online with your favorite service provider, you have a page at Schedulicity where you can see and manage your appointments. To get to that page, you will need to sign in with the username and password you used when creating your appointment.

If you don’t remember your password, you can visit the password recovery page to enter your email login information. If you don’t remember the email address you used when booking the appointment, please feel free to call our support team at 1-877-582-0494. We’d love to help!

Can I have clients reserve their visit with a credit card?

Yes! You can require your clients to put in credit card information in order to book specific services or classes. They won’t be charged at the time they book the appointments but you can charge them directly from the appointment within your calendar if they don’t show up for their appointment.

Does Schedulicity integrate with Google Calendar?

Here’s the lowdown – Schedulicity’s calendar share is a one-way share in which your Schedulicity appointments will share over to your Google calendar, but appointments from Google won’t be pushed over to your Schedulicity Calendar. Just a heads up since we have noticed most businesses will simplify and just work out of their Schedulicity calendar so you don’t have to manage two calendars or worry about double booking yourself!

I also want to be transparent about a few issues we have noticed specifically with the Google calendar share. First, it has been brought to our attention that sometimes there is a 24-hour delay for appointments to appear over to Google. Unfortunately, this is a known Google delay with any calendar share and it's out of our hands. 🙁

We have also noticed a delay when you update/edit an appointment in Schedulicity, including when you cancel appointments. Google will not show that update, nor will Google remove an appointment if it has been cancelled on the Schedulicity end. We’re a little bummed that Google isn’t reflecting a more real-time connection between the calendars, but it is totally out of our control.

All right, with all that being said, if you want to move forward with the share please check out these steps, and keep in mind, this calendar share allows you to view one week in the past and 2 months into the future. Here you are!

      • In Schedulicity, head to the Settings section of your account and open the Providers/Instructors page
      • Select your name in the list
      • Under the “Calendar Share” header, move the “no” slider to “yes”
      • Select and copy the full URL that appears in the text field

Next, sign into your Google account and walk through these steps:

  • Click the grid box at the top right of the page and select the Calendar option
  • Click the very small arrow to the right of Other Calendars on the left.
  • Choose “Add by URL” In the prompt that displays, paste your generated URL from Schedulicity
  • Click “Add Calendar” Then you should be all good to go with the share, just keep those delays in mind!
