FAQs

How do I book multiple services for a client appointment?

If you would like to book multiple services for a brand new single client appointment within the app, this can be done through the following steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. The day will default to the current day and will be displayed with a circle around it at the top of the screen. You can then book an appointment by selecting the (+) icon in the upper right hand side of the screen and then select the “Client Appointment” option. You can also navigate to the date/time on the calendar that you would like to book.
  4. Once you have the day you would like to book the appointment displayed, place your finger on the time that you would like to book and hold it down. The appointment block will not appear if you double tap the screen. Once your finger is pressed on the screen, a block for a new appointment will appear on the screen, and the time increments that the appointment is being booked will appear on the left hand side of the screen. Once you have the start time you desire for the appointment, lift your finger to be taken to the appointment creation screen.
  5. Specify which client you would like to book by selecting the “+ Add” button underneath the “Clients” header. The screen will change over to the available list of clients. Select the client you would like to book. If the client does not have an email address or phone number listed in his client profile, you will have the option to add it at this time.
  6. Next, select the “+ Add” button underneath the “Services” header. The screen will change over to the available list of services. Select the service you would like to book. You can then repeat this process until all services for the client’s appointment are added or until the maximum number of your multiple service scheduling settings are met. If you need to adjust or change a service that was added, you can do so by selecting that service from the list and then specifying the service you wanted to add.
  7. If you would like to change the color of a service for the appointment, you can do so by placing your finger on the service and swiping to the right. All of the service color options will display and you can select the one you would like from the list.
  8. If you would like to review the date and time information or need to adjust the duration, clean up time, or processing time of any services, you can do so by tapping on the date and time. You will then be redirected to a screen listing of when the appointment starts, what the duration for each service is along with any processing or clean up time. To adjust a service’s duration, press and hold your finger on the “Duration” screen. Keeping your finger pressed down, you will then be taken to a slider screen where you can adjust the duration by scrolling up or down to specify the total duration. Lift your finger once the preferred duration is specified. Select the “Done” button when you are done reviewing these details.
  9. Next, specify who will receive a notification of the appointment. Client notifications are defaulted to “yes” and provider notifications are defaulted to “no.” To change either of these settings, tap on the slider next to the Client or Provider option under the “Send Confirmation To” header.
  10. If there are any client notes, special offers, or Add-ons that you would like to add to the appointment, scroll down to add this information. Client notes can be added by tapping the text field under the “Notes” field and entering the notes there. Special offers and Add-ons can be added by selecting the “+ Add” option underneath their headers.
  11. Once all of these details look the way you desire, select the “Save” option in the upper right hand corner of the screen. The app will then redirect you to the calendar and display your schedule.

How do I change between the daily and weekly view of my calendar?

If you would like to change between the daily and weekly view of your calendar on the app, this can be done by selecting the small calendar icon in the upper right hand corner of the screen, next to the (+) sign. If you are on the daily view when selecting this icon, you will be redirected to a 7-day snapshot view of the week with any appointment times being blocked out. If you are on the 7-day weekly view when selecting this icon, you will be redirected to the daily view of the calendar. While on the 7-day weekly view, if you would like to navigate to a specific date or time, you can do so by selecting the date from the row of dates at the top or selecting a specific date/time on the 7-day weekly view.

How do I navigate to a different week or month on the calendar?

If you would like to view a different week or month than the current one on the calendar, this can be done by selecting the navigation menu in the upper left hand corner of the screen (the 3 striped lines) and selecting the “Calendar” option.You can then view a different week in the same month by selecting the downward facing arrow to the left of the week that is being displayed and swipe down. The full month will then be displayed. You can then select a date on a different week to have that day displayed on the calendar. The dates for that week will be listed in the row of dates above.To view a week in a different month, select the downward facing arrow to the left of the week that is being displayed and swipe down. The full month will then be displayed. You can then switch to a month in the past or the future by swiping to the right or left to switch to a different month. Once you have the month that you desire, select the date that you would like to display. That day will then be listed below with the week for that date listed in the row of dates above.

How do I mark myself as out for one day?

If you would like to adjust your schedule so that you are listed as “out” for that day, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Under the current week information at the top of the screen, select the date and time
  4. You will then be redirected to a new screen where you can mark yourself as “out” for the day. Simply tap the slider on the “In” field so that it now displays as “Out.”
  5. Select the “Save” option in the upper right hand corner of the screen.

You will then be redirected to that day on the calendar with the day marked as your day off.

How do I change my availability for one day?

If you would like to adjust your schedule so that only one day is affected, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Under the current week information at the top of the screen, select the date and time
  4. You will then be redirected to a new screen where you can specify a different start or end time. Simply tap on the Start or End fields to enter a new time
  5. Select the “Save” option in the upper right hand corner of the screen.

You will then be redirected to that day on the calendar with the changes applied.

How do I view my entire week of appointments?

If you would like a snapshot view of your entire week of appointments, you can view this through the following steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. In the upper right hand side of the screen, select the calendar icon (next to the (+) icon).
  4. You will then have a 7-day view of your calendar with any appointment blocks marked out in a solid color. If you would like to navigate to a specific spot on the week view, simply tap it. The calendar will then redirect you to the daily view of that area.
  5. If you would like to switch back to the daily view, select the calendar icon in the upper right hand corner again.

How do I remove a recurring block of personal time?

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Select the personal time block from the calendar and choose the option “Edit Entire Series”
  4. Select the “Remove Series” button from the bottom of the screen
  5. The app will then prompt you to make sure you want to remove the personal time. Confirm by selecting “Remove”

The personal time will then be removed from the calendar.

How do I remove a block of personal time?

If you would like to remove a block of personal time from the calendar, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Select the personal time block from the calendar
  4. Select the “Remove” button from the bottom of the screen
  5. The app will then prompt you to make sure you want to remove the personal time. Confirm by selecting “Remove”

The personal time block will then be removed from the calendar.

How do I create a recurring block of personal time?

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Select the “+” icon in the upper right hand corner of the screen
  4. Select the “Personal Time” option
  5. Tap on the date and time to specify the date and time the personal time will display. This will take you to a new screen where you can specify the date that appears. You can then specify the start time by tapping the current start time. Tap the Duration to specify how long the personal time takes place. Tap the “Done” option in the upper right hand corner when these details are entered.
  6. If there is a description you would like to add to the personal time, tap the text field under the “Description” option to add it.
  7. Under the “Occurs” header, tap the “Occurs Once” option to specify how often this personal time repeats. You will then be taken to a new screen where you can specify if the personal time repeats weekly (and whether that’s every week, every 2 weeks, etc.) or monthly (and whether that’s every month, every 2 months, etc.). Tap the recurrence.
  8. You will then be redirected to the personal time screen. The recurrence of the personal time will be listed under “Occurs” with a date for when that personal time will stop displaying on the calendar. If you would like to adjust the end date, tap the date. You will be redirected to a new screen where you can enter a different date or specify that the personal time has no end date. Select “Done” when you are finished.
  9. Select the “Save” option in the upper right hand corner when you’re done. If there are any conflicts with the personal time that is being added, the program will ask if you would like to go back to adjust the personal time details or book any way.

You will then be redirected to the calendar where the personal time has been added.

How do I create a one-time block of personal time?

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Select the “+” icon in the upper right hand corner of the screen
  4. Select the “Personal Time” option
  5. Tap on the date and time to specify the date and time the personal time will display. This will take you to a new screen where you can specify the date that appears. You can then specify the start time by tapping the current start time. Tap the Duration to specify how long the personal time takes place.   4. Select the “Edit” option in the upper right hand corner of the screen.
  5. You will then be redirected to the appointment details screen. Place your finger on the service and swipe to the right. You will then see all available color options and can select the color that you would like to display.
  6. Select the “Save” option in the upper right hand corner of the screen.

You will then be redirected to your service on the calendar with the updated changes.

How do I book another appointment for the client with the same services?

If you would like to re-book a client for the same service they just had, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Navigate to the appointment you would like to edit on the calendar and tap on it
  4. Select the “Book Again” button on the bottom right hand side of the screen
  5. You will then be taken to the appointment details page where you can review the client and service information and make any needed adjustments.
  6. Once these details look good, select the “Save” option in the upper right hand corner of the screen.

You will then be redirected to the appointment on the calendar.

How do I remove a no show from an appointment?

If a client has a “no show” status applied to their appointment, you can remove that status through the following steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Navigate to the appointment you would like to edit on the calendar and tap on it
  4. Select the “Undo No Show” option at the bottom of the screen
  5. The no show will then be removed from the appointment. You can then return to the calendar by selecting the “Back” option in the upper left hand corner of the screen.

How do I apply a no show to an appointment?

If a client no shows on their appointment, you can apply that to the appointment through the following steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Navigate to the appointment you would like to edit on the calendar and tap on it
  4. Select the “No Show” option at the bottom of the screen
  5. The no show will then be applied to the appointment. You can then return to the calendar by selecting the “Back” option in the upper left hand corner of the screen.

If you would like to remove the no show status from the appointment, select the “Undo No Show” button at the bottom of the screen.

How do I cancel a recurring appointment series?

If you would like to cancel an appointment on the calendar, walk through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Navigate to the appointment you would like to edit on the calendar and tap on it. Choose the “Edit Entire Series” option
  4. On the bottom left hand side of the screen, select the “Cancel Appt” option.
  5. You will then be directed to the notification screen. Select the “Cancel Series” button to confirm cancelling the appointment series. You can select the “Keep It” option if you don’t want to cancel the series.

The appointment series will then be cancelled from the calendar.

How do I cancel an appointment?

If you would like to cancel an appointment on the calendar, walk through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Navigate to the appointment you would like to edit on the calendar and tap on it
  4. On the bottom left hand side of the screen, select the “Cancel Appt” option.
  5. You will then be directed to the notification screen where you will be asked if you would like to send a cancellation notification to the client and service provider so long as they have email information listed. The client notification is defaulted to “yes,” so if you would prefer the client not receive a notification, tap the slider so that it is set to “no.”
  6. Select the “Cancel Appointment” button to confirm cancelling the appointment. You can select the “Keep It” option if you don’t want to cancel the appointment.

The appointment will then be cancelled from the calendar.

How do I edit a recurring appointment series?

If you would like to edit the details of a recurring appointment series, walk through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)

How do I add a photo to a client’s appointment?

If you would like to add a photo to a client’s appointment, you can do so through the following steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Calendar” option
  3. Select the appointment from the calendar
  4. On the appointment details, select the camera icon under the “Photos” heading. You will then be prompted to either take a photo or upload an existing photo. Select the option you prefer to select the photo and then add it to the appointment. You can repeat this process if you would like to add more than one photo.

The photo will then be attached to the client appointment.You can also view any photos that have been attached to a client’s past appointments by navigating to the client’s profile through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Clients” option
  3. Select the client you would like to add a photo to from the list. You can search for specific clients by entering their information in the Search field at the top of the screen.
  4. On the client’s profile information, select the “Photos” button on the bottom right hand side of the screen. If there are any photos already assigned to that client, they will display in a gallery. If there are no photos currently attached, this will be stated as well.

How do I view photos that have been attached to my client’s profile or appointments?

How do I upload a photo of my client to their profile?

If you would like to assign photos to your client profiles or attach a specific set of photos to client profiles, you can do so through the following steps:

  2. Select the “Clients” option
  3. Select the client you would like to add a photo to from the list. You can search for specific clients by entering their information in the Search field at the top of the screen.
  4. On the client’s profile information, tap the circular photo on the top left of the screen to add a photo. The app will then ask if you would like to take a new photo or add an existing photo from your device.
  5. Take a photo or choose the photo you would like to add. It will then be added to the client’s profile.

If you would like to view previous client images that have been tied to their profile or their appointments, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Clients” option

  5. You can then make adjustments or additions to profile by tapping on those areas on the screen.
  6. Once you have finished applying these changes, select the “Save” option in the upper right hand corner of the screen.

How do I add a client to my client list?

If you would like to add a client to your client list within the app, walk through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Clients” option
  3. Select the (+) icon in the upper right hand corner of the screen
  4. You will then be directed to a new client screen where you can enter the details of the client including their name, phone, email, address, birthday, gender, and any client notes
  5. As soon as this information has been added, select the “Save” option in the upper right hand corner of the screen

The client will then be added to your client list.

How do I view a client’s upcoming appointments?

If you would like to view a client’s upcoming appointments, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Clients” option
  3. Select the client you would like to view from the list. You can search for specific clients by entering their information in the Search field at the top of the screen.
  4. On their client profile, select the “Upcoming” button on the bottom left hand side of the screen.
  5. A list of all of the client’s upcoming appointments will then display. If you would like to select the appointment to get more information, you can tap on it to be redirected to the appointment details.

How do I view a client’s appointment history?

If you would like to view a client’s appointment history, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Clients” option
  3. Select the client you would like to view from the list. You can search for specific clients by entering their information in the Search field at the top of the screen.
  4. On their client profile, select the “History” button on the bottom left hand side of the screen.

How do I call or email my client from the app?

If you need to be in touch with a client regarding their appointment details, you can call or email them from within the app through the following steps:

  1. Select the navigation menu in the upper left hand corner of the screen (the 3 striped lines)
  2. Select the “Clients” option
  3. Select the client you would like to contact from the list. You can search for specific clients by entering their information in the Search field at the top of the screen.
  4. At the top of their client profile will be buttons to “Call” or “Email” the client. Tapping on the “Call” button will dial the client directly from your phone. Tapping the “Email” button will open a new email message to send to them directly.

How do I update my provider notification information?

If you need to update the email address or cell phone that provider notifications are being sent to when a client books an appointment or has an appointment booked behind the counter, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the app (the 3 striped lines)
  2. Select the “Settings” option
  3. Under the “My Info” tab you can then scroll down to the “Notifications” heading. Tap the fields to enter any updated or changed information.
  4. Make sure to save your changes by selecting the “Save” option in the upper right hand corner of the screen.

How do I change my provider display name?

If there are changes you would like to apply to the personal information that is displaying on your provider information, you can do so through the following steps:

  1. Select the navigation menu in the upper left hand corner of the app (the 3 striped lines)
  2. Select the “Settings” option
  3. Under the “My Info” tab you then have the option to scroll down to the “Display Name” header to update your information. Tap into the box to pull up the on screen keyboard and make any changes to the provider name that displays to clients.
  4. Make sure to save your changes by selecting the “Save” option in the upper right hand corner of the screen.

How do I update my provider bio?

How do I update my provider picture?

If you would like to update the provider image that appears on the Schedulicity account, you can do so through the following steps:

  1. Select the navigation menu in the upper left hand corner of the app (the 3 striped lines)
  2. Select the “Settings” option
  3. Under the “My Info” tab you then have the option to change the profile picture that is displaying by selecting the “change” text overlaying the photo. You will then be prompted to either take a new photo to upload it to your bio or choose an existing photo from the gallery. After selecting the new photo, it will be uploaded to your profile. You also have the option to add a backsplash image that will adjust the default colors on your app display by selecting the “Change” option under the Backsplash photo space.
  4. Make sure to save your changes by selecting the “Save” option in the upper right hand corner of the screen.

How do I add a future work schedule?

If your schedule is going to be changing at a future date and you need to add that onto your calendar, you can add a future schedule under your provider information through these steps:

  1. Select the navigation menu in the upper left hand corner of the app (the 3 striped lines)
  2. Select the “Settings” option
  3. Under the “My Info” tab scroll down until you see the “New Schedule” header and tap the “+ Future Schedule” option
  4. You will then be taken to a new screen where you can specify the date the new schedule starts and what the new schedule looks like. Tap the date to adjust the date the new schedule takes effect. You can then specify if you are “out” for that day and adjust any start or end times by tapping on it.
  5. Make sure to save your changes by selecting the “Save” option in the upper right hand corner of the screen.

How do I update my work schedule and availability?

If you would like to update your recurring weekly schedule, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the app (the 3 striped lines)
  2. Select the “Settings” option
  3. Under the “My Info” tab scroll down to the “Current Schedule” heading
  4. Tap on the day where you need to update the schedule. The schedule will then expand to display all days. You can then specify if you are “out” for that day and adjust any start or end times by tapping on it.
  5. Select the “Save” option in the upper right hand corner of the screen.

Your repeating weekly schedule will then be updated. Remember that your work schedules set your availability for clients scheduling online. We allow the business to make appointments at any time inside the calendar so that if you wish to make an appointment outside regular hours to accommodate a client you can do so.

How do I log out of the app?

If you would like to sign out of the Schedulicity iPhone app, you can do so through these steps:

  1. Select the navigation menu in the upper left hand corner of the app (the 3 striped lines)
  2. Select the “Settings” option
  3. Select the “General” tab at the top of the screen
  4. Select the “Sign Out” option on the app

You will then be signed out of the app and can sign in under a different provider login or re-sign in using your login information.

I’m trying to add a photo to the app, but it’s not loading. Why can’t I take a picture or access my photos?

The Schedulicity app will need to have access to your Camera and Photos in order to take a picture or add a picture from your photo gallery. If you have specified that the app cannot access these two things, you can adjust your Schedulicity app settings through these steps:

  1. Select the home button on your device
  2. Select the Settings icon
  3. Scroll down until you find the Schedulicity app from the menu and select it
  4. Under the “Allow Schedulicity to Access” information, make sure that Photos and Camera are switched to “on”

You will then be able to take photos or access photos through the Schedulicity app on your device.

How do I run a report from the iOS app?

If you need to access the reports section and are in the iPhone app, you will want to access your Schedulicity account from the web version. To switch over to the full Schedulicity site from the mobile app, open the Safari browser on the phone and navigate to http://www.schedulicity.com/From here you can log onto Schedulicity in order to access the report information that is needed.

How do I adjust my account settings from the iOS app?

To adjust your account settings (service details, subscription details, etc.), you will need to switch over to the full site of Schedulicity. To do this, open up a browser on your mobile device (i.e. – Safari, Google Chrome, etc.) and then navigate to http://www.schedulicity.com/ to log on. From there you can then adjust or make changes within the Schedulicity account.

How do I send an email marketing message from the iOS app?

To send an email marketing message and are in the iPhone app, you will want to get onto Schedulicity web. To switch over to the full Schedulicity site from the mobile app, open the Safari browser on the phone and navigate to http://www.schedulicity.com/ From here you can log onto Schedulicity in order to walk through the steps to create an email marketing message.

How do you switch over to the full site from the iOS app?

To switch over to the full site from the iPhone app, open up a browser on your mobile device (i.e. – Safari, Google Chrome, etc.) and then navigate to http://www.schedulicity.com/ to log on. From there you can then adjust or make changes within the Schedulicity account.

 

How do I reset my password?

If you need to reset your password on your Schedulicity account, you can do so by navigating to https://www.schedulicity.com/account/recover

You can also reset your password by going to Schedulicity.com and clicking on the “sign in” button on the upper right hand side. Enter your email address and then select the “Reset your password” link on the following screen. The system should send an email shortly with a reset link so you can reset your password. Follow the link within that email to create a new password and access the system. Your password must be a minimum of 7 characters with at least one non-alpha character such as a number.Once the password has been reset, navigate back to the Schedulicity app and enter your email and password information to log on.

How do I download and install the iPhone app?

If you would like to download and install the Schedulicity iPhone app, we have a great YouTube video walking through this process here: https://youtu.be/M9Bh4LX4Pg0  We also have some step by step instructions below.

  1. Navigate to the App Store icon on your iPhone.
  2. Search for Schedulicity in the search field. Select the Schedulicity app when it displays and then opt to download it to your phone.
  3. Once the app has been downloaded, navigate to it from your home screen and tap on it to open the app.
  4. Enter your email login and password to be logged onto the app.

From here you can review your upcoming schedule, adjust provider settings, and view your client list.
